How can a practice or clinic check phone numbers and emails on intake forms?

Check the phone number and email domain on each appointment request, and read the public page of a referring organization, before front desk staff start calling back. You get facts about format and type, not any health information.

The problem

A new appointment request often comes through an online form. The phone number is the main way the office reaches the patient, and a number with a missing digit or the wrong country prefix means a missed call and a gap in the schedule.

Front desk teams have a short list of calls to make each morning. Knowing which numbers are well formed and which type the numbering plan assigns helps them skip toll-free and premium-rate entries and spend their time on entries that can be reached.

These checks should be narrow. Only the single phone number or email domain needs to be looked up, and nothing about the visit has to leave your system.

The CDC National Center for Health Statistics lists 1.0 billion physician office visits, from the 2019 National Ambulatory Medical Care Survey. 2019. CDC National Center for Health Statistics, FastStats: Physician Office Visits, read 2026-10-18.

Questions

Does a lookup send patient or visit details?

No. A request carries only the single value being checked, such as one phone number or one email address. You never need to include a name, a visit reason or any record.

Can it tell me which numbers are mobile so I can send texts?

It returns the number type the numbering plan assigns, such as mobile, fixed line or VoIP. Plans can mark ranges as fixed line or mobile, so treat the type as a strong hint, not a guarantee about the line.

Can it confirm a patient owns a number or email?

No. It reads numbering-plan rules and domain records. It cannot say who uses a number or a mailbox.
